Upgrading - Migrating your website data from a previous version of XLEcom into a New Release

Please understand the following:
"All new releases are full revisions. They are not patches or updates for a previous older version."

The XLEcom Installation package
The XLEcom installation package (xlecom-setup.exe) contains a single Excel file (XLEcom.xls) and numerous additional HTML and image file assets. The single XLEcom.xls file will contain all the information for your website. Most of the additional file assets are used for the demonstration website example included with the program. Typically, the only difference between a previous release and new release are changes made to the single XLEcom.xls file. If other changes were made such as to the associated files assets, then the New Release posting will state these changes.

The image below outlines the top level directory folder structure created in the default full installation of the XLEcom program. The default installation directory path is C:\Program Files\XLEcom. For more information and a description of the files included with the installation, refer to the Instructions page.

If you have previously performed a full installation of the program that includes all the HTML and image file assets, then you only need to download the single XLEcom.xls file to upgrade to the new release.

To ensure a smooth migration to the latest release, perform the following steps:

Note: Before you perform an upgrade, rename your current XLEcom.xls file to something else like XLEcom-old.xls in order to prevent an accidental file overwrite of this file during installation of the new release.

  1. The first step is to open the new XLEcom.xls file and immediately register it using the registration information that was sent to you when you first purchased the program. When done with the registration, close the XLEcom.xls file.
  2. Open your previous version of XLEcom (XLEcom-old.xls) that contains your current website data and export the core data such as the Product Database, Categories, Site Themes, Support Pages, and FTP Account settings to individual Excel (xls) files using the Import / Export utility found on the Product Design sheet. When done with the data exporting, close the XLEcom-old.xls file. The exported Excel data files are located in the XLEcom root folder (i.e. C:\Program Files\XLEcom).
  3. Open the new XLEcom.xls file and import the data you exported to files in step 2 using the Import / Export utility found on the Product Design sheet.
  4. Manually enter in the balance of your website information such as your shopping cart settings, the Ad layout properties, and Company information into the program. Most of this information is can be entered via the Setup, Ad Design and Site Setup utilities.
  5. If a New release contains any additional information about Upgrading, it will be included in the "XLEcom Version x.x Released" posting. You can view the New Release postings in the News and Announcements section.

Entering the Registration Code into the Program
To enter your registration code, open the XLEcom program and switch to the "Product Design" sheet. Next, press the "About" button, then the "Register" button. Enter in your registration information and press the "Register" button. That's it.

Upgrading from Version 5.2 to Version 5.3
All the key data form version 5.2 such as the Product Database, Categories, Site Themes, Support Pages, Multiple Price Options Add-to-Cart Forms, and FTP Account settings can be imported into the new version 5.3 via the Import utility. First export the data from the older 5.2 version using the Export utility and then import the data back into the new 5.3 version using the Import utility. The Import / Export utilities can be accessed via the Product Design sheet.

If you previously performed a full installation of version 5.1, then you only need the single (XLEcom.xls) file.


Upgrading from Version 5.1 to Version 5.2
All the key data form version 5.1 such as the Product Database, Categories, Site Themes, Support Pages, and FTP Account settings can be imported into the new version 5.2 via the Import utility. First export the data from the older 5.1 version using the Export utility and then import the data back into the new 5.2 version using the Import utility. The Import / Export utilities can be accessed via the Product Design sheet.

If you previously performed a full installation of version 5.1, then you only need the single (XLEcom.xls) file.


Upgrading from Versions 3.9 thru 5.0 to Version 5.1
All the key data form versions 3.9x - 5.0 such as the Product Database, Categories, Support Pages, and FTP Account settings can be imported into the new version 5.1 via the Import utility. First export the data from the older 3.9x - 5.0 version using the Export utility and then import the data back into the new 5.1 version using the Import utility. The Import / Export utilities can be accessed via the Product Design sheet.

Site Themes (optional)
There has been some significant changes to the Site Themes in version 5.1. Therefore there is no simple method for importing your old custom themes into the new program. If you had created custom site themes for the previous versions, then you can manually reconstruct them within the new program using the Site Themes Design utility. Just place your custom theme images into the appropriate theme folders under the main \Assets\images\themes folder, then reconstruct your custom themes within the new program.

If you are familur with Excel, then you can export both the old site theme's table and the new version's table and add your custom themes to the new table. Note that some new columns have been added and some have been removed in the new site theme table. After you correctly entered your custom site theme data into the new site theme's table, you can then import the table back into the new program.

Note: The last Database field in all versions 4.0 thru 5.1 has been changed from "Notes" to "Custom Add-to-Cart Form". This Database field will now be used to store your Multiple Option Add-to-Cart forms. If you are currently using any 4.x or the 5.0 version, then this is of no concern.


Upgrading from Versions 3.9 thru 4.4 to Version 5.0
The only major difference in upgrading to version 5.0 is the addition of two new image columns in the Site Themes Table and the addition of new theme images located in the Assets\images\themes\frames folder. If you perform a full installation of the New version 5 program, then these new theme images will automatically be installed.

All the key data form versions 3.9x - 4.4 such as the Product Database, Categories, Support Pages, and FTP Account settings can be imported into the new version 5.0 via the Import utility. First export the data from the older 3.9x - 4.4 version using the Export utility and then import the data back into the new 5.0 version using the Import utility. The Import / Export utilities can be accessed via the Product Design sheet.

Site Themes (optional)
If you made any changes to the Site Themes and want to import your changes into this new version, then perform the following steps. If you have not modified any of the site themes then you do not need to do anything else.

Scenario 1: If you only added new themes to the site themes, then perform the following:

  • Step 1: Export the Site Themes from the older version's program. Rename the exported Excel (xls) file to something else like Old-Themes.xls.
  • Step 2: Export the Site Themes from the new version 5's program.
  • Step 3: Close the XLEcom programs and open both exported Site Theme files (xls).
  • Step 4: Copy the rows that contain your added site themes from the old version's Site Theme file to the bottom of the list (table) in the new version's Site Theme file. The bottom of the list means directly under the last theme in the list (no blank rows).
  • Step 5: Highlight (select) the entire site theme table and sort the table by the first column field (Column A - Themes).
  • Step 6: Save and Close the updated Site Theme file.
  • Step 7: Open the New XLEcom program and Import the updated Site Theme file.

Scenario 2: If you made changes to the original site themes, then perform the following:

  • Step 1: Export the Site Themes from the older version's program. Rename the exported Excel (xls) file to something else like Old-Themes.xls.
  • Step 2: Export the Site Themes from the new version 5's program.
  • Step 3: Close the XLEcom programs and open both exported Site Theme files (xls).
  • Step 4: Switch over to the old version's Site Theme file and add (insert) the two new image columns. You can see where to insert the two new columns by looking at Version 5's Site Theme file. The two new columns are named Right Side and Bottom (if utilizing right side area).
  • Step 5: Copy the new image file names from version 5's Site Theme file to the old version's file. Place the file names into the appropriate columns. If your old Site Themes are sorted differently, make sure you place the new file names into the correct corresponding rows.
  • Step 6: Highlight (select) the entire site theme table and sort the table by the first column field (Column A - Themes).
  • Step 7: Close the new version's Site Theme file and Save the updated old version's file using the same file name as the new version 5's file name. In other words, overwrite the new version's Site Theme file with the updated old version's file.
  • Step 8: Open the New XLEcom program and Import the updated old version's Site Theme file.

Note: The last Database field in all versions 4.0 thru 5.0 has been changed from "Notes" to "Custom Add-to-Cart Form". This Database field will now be used to store your Multiple Option Add-to-Cart forms. If you are currently using any 4.x version, then this is of no concern.


Upgrading from Versions 3.9 thru 4.3 to Version 4.4
All the key data form versions 3.9x - 4.3 such as the Product Database, Categories, Site Themes, Support Pages, and FTP Account settings can be imported into the new version 4.4 via the Import utility. First export the data from the older 3.9x - 4.3 version using the Export utility and then import the data back into the new 4.4 version using the Import utility. The Import / Export utilities can be accessed via the Product Design sheet.

Note: The last Database field in all versions 4.0 thru 4.4 has been changed from "Notes" to "Custom Add-to-Cart Form". This Database field will now be used to store your Multiple Option Add-to-Cart forms. If you are currently using any 4.x version, then this is of no concern.


Upgrading from Versions 3.5, 3.6, 3.7, or 3.8 to Version 4.4
For these older versions, see the instructions for upgrading listed under the 3.91 release section.
A Common Question
Should I uninstall the old version first, or just install over the previous installation?

Answer
The only file in the XLEcom program package that changes when you create or edit your website is the Excel file originally named XLEcom.xls. All the other files included in the XLEcom package are site assets such as theme images and some optional support HTML files.

All new releases of the program contain the same files assets as the previous versions. The only file that is changed in a new release is the XLEcom.xls file.

You do not need to uninstall the previous version to install a newer version. You can just download the single XLEcom.xls file and place it in the same folder as the old one.

If you want to perform a complete installation of a newer version, then you can then install the new program over the old one without having to uninstall the old program. For backup reasons, you should first make a backup copy of everything under the XLEcom folder. This would include your XLEcom.xls file and all the files under the Publish folder. If you happened to have changed or overwritten any of the original file assets in the previous version with your own files, you can restore them back later.

It is always recommended that you rename or save the original XLEcom.xls file under a new file name. This way you won't accidentally overwrite your Excel website file with the newer version's XLEcom.xls file.

Remember that you can also install the new program to a new location if desired.
